Our client in Kloof is looking for a dynamic, experienced Independent Financial Advisor Administrator to join their growing team.
This role reports to the Key Individual and will provide exceptional administrative and technical support to clients and colleagues.
The ideal candidate will be an experienced IFA Administrator with an excellent knowledge of investment and retirement fund transactions and processes as well as client relationship management.
The Financial Administrator will be responsible for ensuring the delivery of timely outcomes for all clients, including, but not limited to; client reviews, processing of new business, preparation of provider documentation, processing fund switches, contributions and withdrawals, obtaining fund values from product houses and answering client queries etc.
- Timeously and effectively deal with queries from clients and other parties through clear and thorough communication and within the correspondence service level agreement (SLA)
- Ensure all written and electronic client communication is accurately recorded and maintained on 1Drive and Elite software programme.
- Collect, collate, and record client policy information and personal data in accordance with the principles of KYC and FICA
- Ensure that all files worked on are compliant in accordance with the FAIS Act and administration procedures and adhere to internal and external compliance procedures in all aspects of your work.
- Create, schedule, and manage follow up tasks relating to client meetings, ad-hoc requests, and new business submissions
- Prepare documentation for client meetings and annual financial reviews, including product literature, illustrations, provider forms and client agreements.
- Liaise with product providers and other third parties.
- Obtain information, quotes, illustrations and product details for analysis.
- To comply with the principles of Treating Customers Fairly in all aspects of the role of Administrator.
- Process and submit new business to providers and ensure applications are completed efficiently.
- Comply with internal and FICA compliance policies and procedures, ensuring all client data and information remain confidential and compliant.

Requirements:
- A minimum of 3 years’ experience within the financial services industry.
- Experience using a software programme eg Elite Wealth, At Work , XPlan, plus Allan Gray & NinetyOne Platforms.
- Strong technical knowledge of investments, retirement, and financial planning.
- Excellent written and verbal communication skills are essential.
- A very high attention to detail and accuracy is required.
- Demonstratable experience delivering the highest level of service to clients.
- Excellent IT skills and proficiency in Microsoft Office packages, especially Excel.
- Understanding the needs of the businesses’ Financial Advisers as well as regulatory rules and requirements.
- Industry qualifications such as RE 5
- Ability to work under pressure individually and as part of a busy team, to meet sometimes strict deadlines and urgent client needs
- Demonstrate motivation and focus in delivering an outstanding level of customer service to clients
- Demonstrate comprehensive professional judgement, self-initiative, common-sense and innovative approach to problem solving
- Good understanding of the Financial Planning process
- Able to prioritise and plan own workload and to work within defined business processes
- Ability to achieve agreed outcomes without supervision
- Be able to learn quickly and effectively, gaining knowledge of the company’s services, products, compliance, and administrative procedures
