A company in Umhlanga is looking for an Office Manager with OHASA certification.
Responsibilities:
- Lease management, including lease administration and body corporate/ tenancy rules compliance
- Liason with landlord on body corporate tenancy rules
- Project planning and management of any changes in headcount to manage office structure changes as required
- Maintenance check list and repairs
- Energy saving (aircon/ lights) monitor electricity usage
- Occupancy and space management/Covid rules
- Emergency management and business continuity/ evacuation/fire fighting/ first aid ( OHASA )/ Fire Chief inspections
- Building Audit and compliance
- Manage OHASA committee and DOL inspections
- Manage contractors and repair technicians
- Knowledge of plumbing/ electricity/ structures to conduct minor repairs and guide contractors/repair technicians
- Alarm Call outs
- Manage contract cleaners
- Security Daily lock open and lock up procedures ( access control ensure that the magnetics door locks are daily in working order)
- Procurement of office supplies
- Procurement of consumables ( coffees/ teas/sugar/milks/cereals/fruit)
- Procurement of cleaning materials
- Set up preferred supplier lists, obtain discounts/set up standing monthly /weekly orders
- Maintain IT equipment asset register
- Maintain stationery stock control
- Maintain crockery, cutlery supplies
- Manage reception desk
- Manage daily breakfast bar
- Manage cleaning of appliances to ensure maintained in a good condition
- Mange booking of meeting rooms and boardrooms
- Booking refreshments for meetings
- Controls and manage invoices to be sent for payment to H/O
Must have driver’s license and own vehicle and not be dependant on lift clubs. Must be able to work on weekends if required
